We are looking for far more than a traditional Personal Assistant. This is a Lifestyle & Operations Manager: someone who operates as the mini-CEO of a private family ecosystem, taking ownership of logistics, travel, property, staff, finances, systems, and the overall flow of life. Your mission: remove 90% of operational, domestic, organizational and process-related questions from the principal’s plate – with structure, taste, and flawless execution. You will work directly with an UHNW entrepreneur and family, shaping order, clarity, and efficiency in every dimension of their lives. This role requires strategic thinking, high autonomy, minimalism, excellent taste, and a calm, system-oriented mind.

Key Responsibilities
- Full management of personal, family, and business calendars.
- End-to-end planning of international travel (flights, VIP terminals, hotels, villas, visas, transfers).
- Full oversight of properties in, managing contractors: gardeners, engineers, maintenance teams, smart home systems, repairs, service contracts, expense tracking, plan vs. fact reporting.
- Monthly reconciliation of family expenses, budgeting and cash-flow oversight, subscription management and recurring payments.
- Scheduling, task management, payments, quality control and communication with household staff and external providers.
- Building and maintaining all processes in Notion, Structuring files, documents, databases, creating checklists, standards, and operating procedures.
Requirements
- At least 3+ years of experience as a Personal Assistant, Operations Manager, or Lifestyle Manager within UHNW families or Family Offices.
- Proven ability to build systems and processes, not just execute instructions.
- High autonomy: you take ownership, make decisions independently, and bring complete solutions -not open questions.
- Exceptional attention to detail, structure, and follow-through – nothing slips through the cracks.
- Strong empathy, diplomacy, and emotional intelligence – you work seamlessly with people of different personalities and expectations.
- Ability to stay calm under pressure, handle rapid changes, and maintain composure in demanding environments.
