Job Overview

The Luxembourg Space Agency (LSA) is seeking a Part-time Office Assistant (m/f) to support its reception and daily operations. This is a 1-year fixed-term contract (50% part-time) role based in Luxembourg. The position requires strong organizational and communication skills, with a focus on ensuring smooth administrative operations and professional representation of the agency.

Job Responsibilities

  • Welcome visitors and manage reception services.
  • Manage calls, emails, mail distribution, and general correspondence.
  • Prepare and organize meeting rooms.
  • Assist with travel bookings and meeting arrangements.
  • Support inventory and office supplies management.
  • Maintain shared spaces and ensure replenishment.
  • Assist in planning and coordinating internal/external events.
  • Provide back-up support to the Office Coordinator.

Requirements

  • Bac+2 degree in business administration (Bachelor’s preferred).
  • 0–2 years of experience in administration, office support, or assistant role.
  • Fluent in French & English; knowledge of German/Luxembourgish is a strong asset.
  • Excellent communication and interpersonal skills.
  • Strong IT skills (Word, Excel, PowerPoint, collaboration tools).
  • Reliable, solution-oriented, and able to handle confidential information.
  • Team player with a proactive and adaptable mindset.
  • Availability every working day (mornings or afternoons).
